Tax preparation

Missing tax documents? Start with this checklist

Missing paperwork is easier to address when you can name exactly what is missing. A simple inventory gives you and your preparer a shared starting point.

Make a list by year and source

Create a separate checklist for each tax year. For each expected item, record the issuer, the type of document, whether you have it, and whether you requested a replacement. Use the prior return as a prompt, while remembering that this year's situation may be different.

  • Employers and contract-work payers
  • Banks, brokerage firms, and retirement-plan providers
  • Business income and expense records
  • Records supporting deductions, credits, and tax payments
  • Prior filed returns and tax-agency correspondence

Track replacements and corrected documents

Contact the organization that issued a missing form through a known phone number or account portal. Note the request date and the response. When a corrected form arrives, label it clearly and tell your preparer which earlier document it replaces.

Keep a single current checklist instead of sending unexplained fragments across several messages. A note such as 'waiting for corrected retirement statement' is much more useful than marking the entire year complete.

Understand where IRS records may help

IRS records include return transcripts, tax-account information, and wage-and-income records. Individuals can access available records through their IRS online account, with certain transcript options also available by mail. Availability varies by record type and timing.

Tell us if you have obtained transcripts and which years they cover. We can discuss whether they help with the missing items and what other supporting records are still needed. Never share your IRS login credentials with the firm.

Flag the deadline while you gather records

If filing or notice dates are approaching, tell the office at the beginning of the conversation. Do not assume that gathering replacement documents changes a deadline. We can discuss the work, the missing information, and what should happen next without guessing at unsupported amounts.

Common questions

Can IRS transcripts help with missing records?

They may help, depending on the record type and year. Discuss what they contain and what supporting information is still needed for your return or IRS matter.

Should I give my preparer my IRS account password?

No. Keep your login credentials private. Ask the office how to deliver documents or complete any required authorization.
